New Opportunities
 

GEMS World Academy (Singapore) is looking for an Accounts Assistant. The successful incumbent is responsible for managing the collection of fees and takes care of the Fee Protection scheme. As part of career progression, we would like to see the person grow into a core member of the accounting team by taking more work and be able to manage when someone is on leave. 

Main Responsibilities:

  • Manage Fees collection and vendor payments 
  • Handles end to end CPE Compliance in relation to Fees Protection Scheme (FPS) Insurance and reporting
  • Other ad hoc duties as assigned within the department  

Person Specifications:

  • Minimum Diploma/Degree in Accountancy or Business Management 
  • Minimum 2 years experience in basic accounting
  • Proficient and advanced level Excel user
  • Able to do lookup, pivot and other related formulas and comfortable managing high volume of manual data in multiple systems
  • Relevant experience in International School for Committee of Private Education will be welcome
  • Excellent communication and interpersonal skills
  • Good personal etiquette and positive customer service attitude
  • Polite and pleasant demeanour
  • Able to multi-task and handle competing priorities
  • Attention to details with good follow up skills in ensuring issues are resolved in a timely manner
  • Passion to work in the Education industry to support the development of our next generation

The Arts are a key pillar for our students at GEMS World Academy (Singapore). We aim to provide a range of diverse opportunities that cater to all abilities, ages and aspirations.

This position is primarily responsible for providing practical and administrative support to the Senior Years Arts Department; The Subject Leader and all the Secondary Years Arts teachers (Music, Art, Drama). It is expected that the administrative arts assistant will bring their own skillset to the role, has and will maintain high standards and be open to learning on the job.

This position requires the ability to complete varied arts preparation activities and complex office duties, sometimes working under pressure. The role requires someone who can complement and support the work of the Arts team, both collaboratively and individually. An individual who is proactive and shows initiative, is organized and pays attention to detail, is both flexible and reliable and is enthusiastic is required.

Hours of work will typically be from 8:00 am to 5:00 pm (Monday to Friday). Weekend work will be required at times when we are hosting arts events or involved in performances. 

Responsibilities:

  • Provide secretarial and practical support to all Secondary Years Arts teachers
  • Storerooms and inventory management 
  • Assist with ordering arts resources, maintain records, correspondence, documents in a well-organized and accessible manner
  • Organize set up and takedown of stage/venue for performances and art displays/ exhibitions
  • Assist in the preparation of teaching spaces and lesson requirements
  • Liaise with other internal stakeholders

The ideal candidate will possess the following:
  • A passion for the Arts
  • Experience in a similar role will be an advantage 
  • Beneficial to have backstage/theatre experience and/or art experience and/or play a musical instrument
  • Strong critical-thinking and problem-solving skills
  • Excellent interpersonal skills and ability to handle multiple responsibilities and set priorities 
  • Positive work attitude and initiative
  • Ability to work in a team and perform individual tasks 
  • Ability to work not only with adults but also with children from 11 to 19 years of age 
  • Will be required to lift equipment and materials
  • Diploma from a recognized polytechnic/university
  • Demonstrate competency in Microsoft Word, Excel, Google Apps and ability to learn new software

At GEMS (Singapore) we provide a range of diverse sporting opportunities that cater to all student’s abilities, ages and aspirations. 

Sports & Physical Education Administrative Assistant will be primarily responsible for providing administrative support to the Head of Sport and Physical Education at GEMS (Singapore). The administrative assistant will be also working closely with the GEMS students and their parents and also supporting other faculty/staff members when necessary. 

Hours of work will typically be from 8.00 am until 5.00 pm (Monday to Friday).  Weekend work may be required during sports events or other activities. An administrative assistant may be required to support other departments during the school holidays.  

Responsibilities:

  • Provides administrative support to the Head of Sport and Physical Education
  • Represent the school and department to the public, parents and students with a positive and respectful manner 
  • Liaise with internal stakeholders and external vendors 
  • Organize mail and other documents in a quick and efficient manner
  • Draft and prepare various contracts 
  • Gather, consolidate and manage student records, sign up lists and e-mail distribution lists (ECAs, competitive teams, GEMS Sports Academies etc) 
  • Oversee, maintain and audit sports inventory and uniforms
  • Prepare equipment for physical education lessons and various sports activities
  • Supervise the design and production of sports collateral 
  • Book school facilities for events and various activities 
  • Assist with school-wide sports and ACSIS events arrangements (schedule, arrange transportation, prepare parent communications, venue set up etc) 
  • Perform other duties and functions as assigned by the Head of Sport and Physical Education
  • Maintain strict confidentiality of all personnel- and student-related matters
