Administrative Assistant - Library 

The Library is a key hub for student learning at GEMS World Academy (Singapore). We aim to provide a range of diverse opportunities that cater to all abilities, ages and aspirations. 

The Administrative Assistant - Library will be primarily responsible for providing practical and administrative support to the Teacher Librarian. It is expected that the administrative assistant will bring their own skillset to the role, has and will maintain high standards and be open to learning on the job.

This position requires the ability to complete varied duties, sometimes working under pressure and time constraints. The role requires someone who can complement and support the work of the Teacher Librarian. The role requires an individual who is proactive and shows initiative, is organised and pays attention to detail, is both flexible and reliable and is enthusiastic. 

Hours of work will typically be from 8.00 am until 5.00 pm Monday to Friday. Weekend work will be required at times when we are hosting events or other activities. During the holiday periods, there may be a requirement to assist other departments. 

Responsibilities: 

  • Provides secretarial support to the Teacher Librarian
  • Represent the school and department to the public, parents and students with a positive and respectful manner regardless of the situation
  • Organize mail and other documents in a quick and efficient manner
  • Assist in the management of the circulation desk
  • Help with cataloguing and processing of resources 
  • Provide assistance to students and teachers in finding books/resources within the library, researching relevant information and answering reference questions
  • Oversee inventory to ensure that all stock is appropriately registered and accounted for
  • Conduct inventory audit and follow up on the return of overdue books and circulation of materials
  • Complete book repair, maintenance and shelving of library books and materials on a daily basis
  • Coordinate with various stakeholders to manage the distribution and retrieval of borrowed books and materials
  • Promote the importance of reading for pleasure through daily interactions with students and teachers
  • Assist with various tasks, perform basic administrative tasks and take on other duties from time to time
  • Assist with displays arrangement 
  • Maintain a safe, organized and clean library
  • Maintain strict confidentiality of all personnel- and student-related matters

The ideal candidate will possess the following:

  • Minimum Diploma or related qualifications in Library 
  • At least 2 years of relevant working experience in a library or information resource centre
  • Familiarity with Follett’s Destiny system
  • Knowledge of Mac and Mac-related software 
  • Knowledge of children’s literature
  • Very good written and oral communication skills in English
  • Reliable and friendly 
  • Able to work with students from 2 to 19 years old of age

Administrative Assistant - Sports & Physical Education

At GEMS (Singapore) we provide a range of diverse sporting opportunities that cater to all student’s abilities, ages and aspirations. 

Sports & Physical Education Administrative Assistant will be primarily responsible for providing administrative support to the Head of Sport and Physical Education at GEMS (Singapore). The administrative assistant will be also working closely with the GEMS students and their parents and also supporting other faculty/staff members when necessary. 

Working hours: Typically be from 8.00 am until 5.00 pm (Monday to Friday).  Weekend work may be required during sports events or other activities. An administrative assistant may be required to support other departments during the school holidays. 

Responsibilities

  • Provides administrative support to the Head of Sport and Physical Education
  • Represent the school and department to the public, parents and students with a positive and respectful manner 
  • Liaise with internal stakeholders and external vendors 
  • Organize mail and other documents in a quick and efficient manner
  • Draft and prepare various contracts

  • Oversee, maintain and audit sports inventory and uniforms

  • Supervise the design and production of sports collateral

Administrative Assistant - Visual & Performing Arts

The Arts are a key pillar for our students at GEMS World Academy (Singapore). We aim to provide a range of diverse opportunities that cater to all abilities, ages and aspirations.

This position is primarily responsible for providing practical and administrative support to the Senior Years Arts Department; The Subject Leader and all the Secondary Years Arts teachers (Music, Art, Drama). This position requires the ability to complete varied arts preparation activities and complex office duties, sometimes working under pressure. The role requires someone who can complement and support the work of the Arts team, both collaboratively and individually. Reports to: Secondary Years Arts Subject Leader 

Working hours: Typically 8:00 am to 5:00 pm (Monday to Friday). Weekend work will be required at times when we are hosting arts events or involved in performances.

  • Provide secretarial and practical support to all Secondary Years Arts teachers
  • Storerooms and inventory management 
  • Assist with ordering arts resources, maintain records, correspondence, documents in a well-organized and accessible manner

Secondary Years Counsellor (Grades 6-12)

GEMS World Academy (Singapore) is seeking a dynamic, experienced and flexible Secondary Years (Grades 6-12) Counsellor. This is a full-time position available immediately due to growth.

Start date: immediately (latest January 2020)

Job purpose:

SY Counsellor works with students individually, in small groups, and within the classroom setting to support and assist them in their academic, social, emotional, and personal development. Identifying students’ academic and social/emotional needs, as well as providing any necessary interventions, is essential in removing barriers to learning and helping students develop skills and behaviours critical for academic achievement. The knowledge, attitudes and skills students acquire during these years build the foundation for future success.

Minimum qualifications:

  1. Undergraduate degree from a recognized university or college
  2. Master’s degree in education with a specialization in the field of guidance and counselling, and/or similar qualification
  3. Minimum 2 years of Counsellor experience, preferably in an international school setting

Qualifications:

  • Recognized and approved BSc Nursing or 3 years General Nursing Certificate
  • Registered Nurse with Singapore Nursing Board
  • Familiar with the latest worldwide medical and healthcare practices

Experience: A minimum of 3 years’ experience in a similar role

Skills:
