Educational Positions

Admin Positions

XCL World Academy seeking to recruit a Registrar . The successful incumbent would maintain documentation, practices, and procedures to ensure that XCL World Academy abides by all relevant  legal and regulatory rules (including CPE rules and regulations).

Ensure that all tasks administrative or otherwise related to enrolment are thoroughly completed and data inputs are updated and managed effectively.

Main Responsibilities

  • Student Contract – Ensure the school’s student contract templates have been vetted, updated, and are correct and current. Manage new joiner and returning student contract/addendum process including deferrals and monitor that parents complete and submit on time. Manage DocuSign (update with new contracts, addendums, etc.) and work with the finance department to ensure fees are reflected accurately in the contract
  • Student Pass – Manage all processes of the Student Pass including application/renewal for both new and currently enrolled students, conversion from Dependant’s Pass to Student pass, as well as cancellation upon withdrawal. Liaise with family and follow-up with details as needed to ensure that students can be in school on-time for the applied start-date. Check student pass application status daily on ICA Solarplus portal and ensure that the CRM systems are updated.
  • MOE Applications – Manage all processes in relation to MOE Waiver applications and withdrawal for Singaporean citizens. Thorough checks on the submitted documents and follow-up as necessary to ensure that students can attend school on time for the applied start date, or as soon as possible. Ensure that the CRM systems are updated.
  • Visa – Monitor that all Enrolled students with Dependent’s Pass and LTVP are up to date. Follow-up with families to get the new information then update data and upload relevant documents into the CRM systems.
  • Passport (for Student Pass holders) – Monitor that all Enrolled STP holder students’ passports are up to date. Follow-up with families to get the new information then update data and upload relevant documents into the CRM systems.
  • Reports/Reporting – Assist in providing reports on a regular and/or ad hoc basis either for internal or external stakeholders. Consistently and correctly send notification to relevant parties for newly enrolled students, deferral, withdrawal, etc.
  • Assessments – Arrange and administer assessments (i.e, EAL, CAT4 assessments, etc) as and when required and ensure that the CRM systems are updated with the results and relevant parties (internal and/or external) are notified.
  • Admitting students – Ensure that students have submitted all the required pre-requisites before the enrolment date, follow-up with the family and/or Admissions Manager when necessary and update status in the CRM and contact information as needed.
  • Other duties as required – Participate during Departmental events such as Open houses, Orientation programmes, and other Marketing and Admissions related events as and when required. Manage department email daily. Assist in processing the transfer of course requests student’s accident insurance claim submissions, student concessions cards and any other requirements deemed by your line manager

Person Specifications

  • Diploma/Bachelor’s Degree in any related field. 
  • Minimum 2- 3 years experience in a school environment  would be an advantage.   
  • Excellent interpersonal skills, verbal and written communication skills, both in person and over the phone
  • Outstanding time management, analytical and organization skills.
  • High levels of accuracy and attention to detail.
  • A team-player who can work with different parties but is able to work independently as well.
  • Excellent oral and written English; ability to communicate in fluent Mandarin is a plus

XCL World Academy is seeking to appoint 2 (two) Secondary Years EAL Teachers (For Summer Camps) supporting the Foundational English Programme. This is a short-term freelance position from 18 June 2024 to 26 July 2024.

Preference will be given to teachers who have credentials in Applied Linguistics, TESOL, and with SIOP, WIDA, and TPR experience, as well as teachers with a clear track record of superior teaching in international school settings.

Due to the nature of the contract, candidates must be residing in Singapore and be eligible to work in Singapore without an employment pass for this position.

Main Responsibilities

  • The primary responsibility of the teacher will be to deliver the EAL curriculum to students with diverse language backgrounds.

 Curriculum Delivery:

  • Adapt teaching methods and materials to meet the individual needs of students.
  • Plan and execute effective EAL lessons based on the established curriculum.

 Documentation:

  • Maintain accurate records of students’ progress, assessments, and attendance.

XCL World Academy has a vacancy for a Parent Relations Manager (PRE) who is highly energetic, team-oriented, and customer-service focused. 

The successful incumbent will assist the Associate Director of Parent Relations and Communications (DOPRE) to execute strategies to improve parent satisfaction and advocacy.  He/she will implement referral and retention activities to attract and retain students for XWA.

Parent Relations

  • Be the school’s first point of contact for the Parent Engagement and Connection Committee (PEACC). Responsible for providing quality customer service to existing and for the onboarding of new parents. 
  • Maintain effective communications to parents from the school, and to be the liaison between other school personnel and departments.
  • Maintain open lines of communication with parents to ensure that their queries, concerns, complaints, and compliments feedback are handled effectively, efficiently and in a timely manner.
  • Oversee and lead parent forums, ensuring that we provide accurate and useful information to parents in an appropriate manner.
  • Coordinating school tours for Parent Ambassadors and events.
  • Encourage and support the parent community to be active advocates for word-of-mouth referrals in supporting student recruitment and to bring up Google Review scores.
  • Give feedback to the Admissions EXCO on all aspects related to parent satisfaction and experience.
  • Oversee the parent’s involvement in The Ambassador Platform (TAP) on the website as well as Parent Ambassador Programmes.
  • To offer support to all school events, as requested or required.
  • Utilise data from parent surveys to assist in the development of action plans related to the feedback.

Internal Communications

  • Responsible for communicating to parents to actively read the newsletters to increase engagement and awareness.
  • Providing editorial support in Chinese language where required to ensure consistency of message.

Recruitment

  • Develop an incentive programme together with the DOPRE to encourage parent referrals.

Retention

  • Working together with the DOPRE to develop and implement customer retention strategies to increase loyalty and retain families by analysing parents’ feedback and survey results.
  • Working together with the school to develop parent-run workshops that includes a variety of activities such as language learning, yoga, cooking, etc.

Person Specifications

  • Minimum Degree in Business Management or other related courses.
  • Minimum 2 years of experience working in a similar role with a proven customer service-oriented role.  
  • Excellent verbal and written communication skills in English, both in person and over the phone.
  • Proficiency in a second Asian language would be a plus factor. 
  • Polite and pleasant demeanour.
  • Strong time and project management skills.

XCL World Academy has an immediate vacancy for an Operations Executive position to oversee and support the effective management of the school’s Facilities department. 

The successful incumbent will be the Key liaison between the Parent Association/ Faculty/ Educational Leadership/ Administration and Facilities department.

Main Responsibilities

  • Evaluate potential suppliers using developed and agreed criteria to support alignment and understanding of the expectations and requirements of engagement. 
  • Monitor and report on the performance of selected vendors to ensure delivery in line with contractual obligations and performance metrics. 
  • Liaise with the procurement team to review, report on and revise contractual agreements as necessary. 
  • Provide guidance and bridging duties amongst all stakeholders (parents, vendors, and school administrators).
  • Vendors involved may include, but not limited to: Cleaning, Landscape, Pest Control, Fire Safety.
  • Responsible for defining commercial communications, and the management and maintenance of the relationship between the organisation and the supplier.
  • Conduct period KPI reviews for all vendors and make good recommendations on any mitigation plan needed as well as to follow through on the proposed plan.
  • Investigate all incidents along with the affected vendor (Includes resolution of the issues, ensures issues are resolved, documented, and referenced for future review).
  • Effectively propose any required changes to current vendors and/or new vendors based on the needs and requirements of the school.

Person Specifications

  • Minimum Degree or Diploma in any relevant areas of qualifications. 
  • Possess an Environmental Control Coordinator License (ECC).
  • Minimum 3-5 years of experience in a similar role, preferably within a school environment. 
  • Must have prior experience in some form of vendor management such as FM, security, pest control, etc., either managing or being a service vendor.
  • Excellent communication skills in English (verbal and written).
  • Need to have a high level of customer service mindset and ability to interact with the parent community on day-to-day operational issues.
  • Ability to empathise with blue-collar workers, walk in their shoes and find solutions for their daily problems/issues.
  • Willing to get hands dirty and walk to the ground to understand the root cause of problems.

The role involves a comprehensive oversight of all school operations to ensure a safe, efficient, and environmentally friendly learning environment.

Main Responsibilities

  • Manage facility maintenance, either directly or through third-party providers.
  • Oversee preventative maintenance schedules to ensure the smooth operation of all facilities. 
  • Supervise campus infrastructure (lighting, heating, air conditioning, playing field, tennis courts, etc).
  • Oversee services like food and beverage, security, transport, cleaning, landscaping, and school health offices.
  • Regularly review services to maintain professional standards. 
  • Possess complete knowledge with regulatory compliance on health and safety for the school and how they relate to students, staff, visitors, contractors and other users of school premises and facilities.

XCL World Academy is seeking to hire Teacher Partners (Relief) to assist Pre-K to Grade 5 students in classes during the absences of Full Time Teacher Partners for temporary periods. This is a 1-year Relief Contract position where you will be contacted on an ad hoc basis when a cover requirement arises.

Main Responsibilities

  • A Teacher Partner would directly work with students supporting the teachers daily with the educational program and lead classroom duties such as assisting students with learning, organising folders, notifying parents on updates of students, and assisting students during activities and breaks. 
  • Support students across all aspects of learning (academically, socially, and emotionally). 
  • Manages and interacts with children in a positive and supportive manner, assisting in the execution of instructional plans by supporting children individually or in groups in the classroom. 
  • Help with picking up and dropping off students with class teachers for lessons, to the library, cafeteria, bus bay, nurse station, or at other facilities.  
  • Undertake playground supervision as per the duty roster.
